The gap

Winning the work is not the same as starting it.

Between a client saying yes and a matter actually being open sit four errands: send the proposal, collect the fee, get the engagement letter signed, ask for the documents. Each one waits on the last, each one is chased by hand, and a client who is ready to start spends a week watching nothing happen. Onboarder runs that stretch as one chain.

How it works

Four steps, each starting the next.

  • Propose. The client gets a branded, tokenized proposal page built from their CRM contact and the package you chose: scope of services, the fee, how long the offer stands, and a personal note if you want one.
  • Pay. Accepting collects the remaining details and hands the client straight to the Collecter invoice, on the pay page. A start that comes from a public form can skip the proposal and enter here.
  • Sign. Payment triggers the engagement letter through Executer on DocuSeal -- the package's own template, prefilled from the fee table and the details just collected.
  • Deliver. The signature creates the client's passwordless account and opens their document checklist in Doc Requests. From there they have one page for everything.

Passwordless

There is no password to phish.

Clients sign in with single-use links sent to their email, at signature time and on request. Links expire in forty-eight hours, are stored only as hashes, are consumed before they are honoured, and never work for an administrator account. Nothing about the client portal accepts a password, because none is ever created.

One voice

Your client hears from you once a day, not from every instrument at once.

Onboarder sends one reminder a day to a client who has not finished their current step, names that step, links straight to it, and stops on its own when they finish. For the length of an engagement it silences the siblings: the invoice's own collection sequence is cancelled and the checklist is created without a chase. Anything the firm raises outside an onboarding keeps its normal reminders.

What it plugs into

It conducts the instruments you already run.

Onboarder writes no invoice, drafts no letter, and holds no documents. It starts a Collecter invoice, an Executer signature, and a Doc Requests checklist, then watches for each to finish. Packages, tiers, fees, letter templates, and checklists are all set on one settings screen; an onboarding is started by a form, an automation, or an assistant working from a FluentCRM contact by name.

Straight answers

What it is not.

  • It needs the rest of the chain. Executer with a connected DocuSeal account, Collecter, and Doc Requests must be active on the same site; without one, Onboarder stays inert and says so rather than half-running an onboarding.
  • It reads no form. Any form or automation can feed it, but each is mapped once where you built it -- Onboarder is handed the submission, it does not go looking for one.
  • It authors no letter. Merge tags fill the fields of the letter your firm drafted; the template stays yours.
  • A fee change never reaches a client already in the funnel. The fee is copied onto the onboarding when it starts, and is locked once paid.
  • Uninstalling keeps the records. They are the firm's account of who was engaged and when; the tables are yours to drop by hand.
